How it works

Ready in three steps.

  1. Guests sign in

On a tablet or by QR code on their phones. Each sign-in is counted toward the event as it happens.

  2. Add a room count

Count heads in the room and save the number on the tablet or dashboard. The headcount is the larger of the two.

  3. Read the trend

Reports shows totals or the average per meeting, with a line per event and the overall total.

Attendance numbers you can stand behind

Funders, boards and sponsors ask the same question: how many people came? A paper tally answers it once, for one night. Pass the Pad answers it for every event you've run, and shows whether the numbers are going up.

Sign-ins give you a reliable floor, with names, emails and first visits attached. But not everyone signs in, and chasing late arrivals around the room isn't worth it. A room count lets the organizer record the true number in the room without inventing sign-ins, so the headcount is honest and the sign-in details stay accurate.

Reports turns it into a picture: a line for each event, a total for the organization, by day, week or month, and an average per meeting for events that meet on different schedules.

Questions

Frequently asked questions

What is the difference between headcount and sign-ins?

Sign-ins are the people who signed in, with their details. The headcount is how many were in the room: the room count if one was saved, otherwise the number of sign-ins, whichever is larger.

Can I see attendance trends for a recurring event?

Yes. Each recurring event gets its own line in Reports, and you can compare it with others or with all events, as totals or the average per meeting.

Can I export attendance for a grant report?

Yes. Reports export as a spreadsheet with the headcount, sign-ins, people not signed in, first visits and list sign-ups for each event.

Can volunteers update the count during the event?

Yes. The organizer can save a room count on the tablet (behind the organizer PIN) or on the dashboard, and the latest count wins.

Is there an API for attendance data?

Yes. Every paid plan, Sign-in included, can read events with their sign-ins and headcount, and save room counts, through the Pass the Pad API, and hear about each sign-in and room count by webhook.
